Tasks, meetings, working time
Tasks with priority and deadline, a board, meetings and team attendance, and time tracked against tasks with a monthly report.
Konik CRM brings together what today sits in five different programs: clients, tasks, email, meetings and invoices. Konik Cortex (Second Brain) is an AI assistant that works on this data and sees only what the person asking is allowed to see. Every AI call goes into a log.
Every program works, but none of them knows the client's full history. Before we propose a system, we ask four questions. They are the same ones the Diagnosis starts with.
Client data is in the CRM, emails in inboxes, invoices in the accounting software and tasks in people's heads. Nobody sees the whole picture.
When someone is off sick or leaves, their knowledge of clients goes with them. Everything ends up back on your desk anyway.
Company knowledge should belong to the company: in one place, with access based on role, not on who happens to remember.
When client data, emails and invoices are spread across five programs, I want one system for the whole team, so that nothing gets lost between people.
You are not buying another per-seat licence or an AI chat for everything. You are buying order: one place for your team's work and an assistant that stays within permissions and leaves a trail.
This is how implementation and daily work in Konik CRM look, based on the system's code and documentation. The system enforces permissions, Cortex helps, and a person approves changes to the data.
We agree which modules you need: sales and leads, email, meetings, invoices, documents, company knowledge. Scope and dates go into the Implementation Card.
The installation contains only the modules in your scope. Permissions are checked by the database on the server, not just on screen. Items someone has no access to are hidden and protected.
We load clients and tasks from a spreadsheet, with no retyping by hand.
Tasks, a board, meetings and video calls with client context, email connected to your mailbox, and invoices through KSeF (Poland's National e-Invoicing System). On desktop and on your phone.
Cortex looks for answers in CRM data (clients, tasks, messages, leads) with the permissions of the person asking, and shows what it used.
Every AI call goes into the log, without the content of the conversation. If the log entry fails, the AI task does not run.
A client note suggested by the AI assistant is saved only by the account owner in the CRM. A person sends each email with a button, even when the draft was dictated by voice.
An administrator can pause Cortex with a single switch in the Agent Centre. A paused assistant makes no calls at all.
The AI assistant in the CRM suggests and prompts, but sending an email and saving a client note both need a person. That is how the code works, not just what the terms say.
The modules share one database: clients, tasks, email, meetings, invoices and company knowledge.
Tasks with priority and deadline, a board, meetings and team attendance, and time tracked against tasks with a monthly report.
Your mailbox inside the CRM, with background sync and sending that does not block your work. The mailbox password is stored encrypted and never goes back to the browser.
A video call linked to a client, a lead or a team, including guests from outside the CRM.
Everyone sees what their role allows. Permissions have also been checked for users from an external company.
Issuing and receiving invoices in KSeF, with error handling and retries. One tax ID (NIP) is included in every package.
Connect ChatGPT, Claude or another AI app to the CRM. The AI reads data within the scope you agree to; it can only suggest client notes.
Conversations with Cortex, a task queue that keeps running after you close the browser, private memory and a log of every AI call.
Tasks, reminders and email drafts by voice. Commands of up to 15 seconds are recognised on the Konik System server and the recording is not stored. Data changes only after you press 'Approve'.
With each answer, Cortex gives the document it came from, so you can open it and check.
Company knowledge available in the client portal, within the permissions of the person asking.
In the CRM and Cortex we do not cite methods from books, because the code does not use any. What it does have are rules for working with AI that the system enforces. Each one has a source.
Cortex uses CRM data with the user's permissions. Access to leads is checked again on the server side.
Every AI call is in the AI log, but without the content of the conversation. If the log entry is missing, the AI task does not run.
A person sends each email with a button. A client note suggested by AI is saved by the account owner. A voice command changes data only after 'Approve'.
A voice command lasts at most 15 seconds and is recognised on the Konik System server. The recording is never written to disk or to the database.
We publish descriptions of CRM implementations at clients only with figures that have a period, a source and the client's consent.
The Konik System team runs its daily work in Konik CRM: tasks, email, meetings and KSeF invoices. We test every change to the system on ourselves first.
You start with the Diagnosis, which tells you which package makes sense. You pay for implementation once and a monthly fee for maintenance and modules.
Interview, review of processes and systems, classification of AI systems under the AI Act (EU AI Act) and a report with recommendations. Credited in full towards implementation.

Cortex works on your company's data in the CRM and sees only what the person asking is allowed to see. Every AI call goes into the AI log, and an administrator can pause Cortex with a single switch. Cortex shows the source with each answer.
We do not make that statement on this website until we have confirmed it against our contracts with model providers and written it into our contract with you. Today, Anthropic (Claude) is used by default. Any other provider stays switched off until a consent is signed, and its terms, including on training with data, are reviewed by a lawyer and the data protection officer.
We load clients and tasks from a spreadsheet, and this import has been tested. From another CRM, an export to a spreadsheet is usually enough. Exactly what we move, and in what order, is agreed during the Diagnosis.
