Konik System

Renewable energy installers and project developersFrom enquiry to handover. In one process._

Installation enquiries come in from portals, by phone and through your website, and the paperwork drags on for months. Konik System brings it into one system: the enquiry, the site survey, a quote from your catalogue, the invoice through KSeF (Poland's National e-Invoicing System) and contract obligations, all in one place. The decisions stay with you.

Stage 01 · Chaos01 / 03
02 · Problem · Diagnosis

Installers fight for every hour. Developers fight for every deadline. Both fight the paperwork.

The same core in two set-ups: one for an installation company and one for a group running many projects at once. We start with four questions from the Diagnosis.

What you see

Enquiries from portals, the phone and the website land with different people. The site survey, equipment selection and pricing drift apart, and the documents sit in several folders.

What it feels like

You are on a roof when a client calls. One person keeps track of contract and permit deadlines, and everyone knows what happens when they go on holiday.

How it should be

Every enquiry and every deadline should have an owner in the system, not in someone's memory.

[ 4 Diagnosis questions ]
  1. SituationHow many channels do enquiries come from today, and who picks them up while the crew is on an installation?
  2. ProblemHow long does it take to get from the site survey to a quote that has been sent?
  3. ImpactWhat happens to a client nobody reminded about a service visit or a missing document?
  4. NeedWhat would change if every enquiry and every deadline had an owner in one system?
The job you hire the system to do
When installation enquiries come in through many channels and the paperwork drags on for months, I want one process from enquiry to handover, so that I stop losing clients between stages.

You are not buying a subsidy calculator or another spreadsheet. You are buying order: who looks after the client, what stage the project is at and which deadline comes next.

03 · Segments · What we sort out

Installer or developer. The same core, a different bottleneck.

Tell us who you are and we will show what we sort out first and which module handles it. Your choice also changes the questions in the Diagnosis form.

You reply first. You price from your catalogue. You remember the client after the installation.

For an installation company: enquiries, site surveys, quotes and service visits in one place.

Typical situations
  • A portal enquiry often goes to several companies at once. The one that calls back first wins, and you are on a roof.
  • Clients ask about net billing, storage and support schemes. You explain the same thing for the twentieth time this week.
  • Site survey, equipment selection, pricing: three days. Meanwhile the client signs with someone else.
  • After installation nobody remembers service visits, warranties or inverter serial numbers until the first breakdown.

Enquiries from portals, the web form and email in one client record. Site survey, installation and service visit as tasks with deadlines and notifications.

A quote from your catalogue and price list: variants only from the rules, discounts above the threshold go for approval, and missing data triggers a question to the client or a salesperson.

Invoices through KSeF with error handling and retries, with 1 tax ID (NIP) included in the package.

Chatbot and voicebot

The chatbot answers from your offer, collects the basic data for a quote and passes the request to the CRM. It introduces itself as AI.

Obligations from contracts and regulations in one place; answers only from quotes from the sources. It does not replace a lawyer.

Indicators we measureno figures until we have data with a period and a source
  • Response time to an enquiry

From the moment an enquiry arrives to the first reply from a person or the system. Measured in the CRM from day one.

  • Share of enquiries that get a quote

How many enquiries end with a quote sent and how many get lost on the way, broken down by source.

  • Time to prepare a quote

From complete data to a quote sent. We measure the starting point in the Diagnosis, before we change anything.

Prices are shown net and gross (23% VAT). Not an offer (Article 66 § 1 of the Polish Civil Code). Only an individual offer or agreement is binding.

01 · Chaos02 · Integration
Stage 02 · Integration02 / 03
04 · How it works · Flow

From enquiry to service visit. At every step you know who does it.

A flow built from Konik System modules. The system keeps the order and the deadlines, and a person approves the price, the discount and the contract.

  1. Enquiry

    System

The web form, email and chatbot save the enquiry in the CRM with the client's details and source.

  2. Site survey

    Human

You book the survey as a task with a deadline; photos and roof data go into the client record.

  3. Quote from the catalogue

    System

Auto-Quoting builds a PDF quote from your catalogue and price list. When data is missing, it comes back with a question or goes to a salesperson.

  4. Discount and sending

    Human

A manager approves any discount above the threshold. A person sends the quote.

  5. Contract and documents

    Human

The contract and documents sit with the client in the CRM; contract duties become obligations in Konik Lex.

  6. Installation and handover

    Human

Tasks for the crew with deadlines in the CRM calendar; the handover report goes into the client's documents.

  7. Invoice

    System

Invoice through KSeF, with error handling and retries.

  8. Service visit

    System

The service date becomes a task with a notification. The system remembers the client, not a notebook.

A person approves the price, any discount above the threshold and the contract. Lex suggests sources; a lawyer makes the legal decisions.

05 · Modules

The modules you work in.

Every module runs in the same CRM, on the same data. We set the scope after the Diagnosis.

M·01

Konik CRM

Clients, tasks with deadlines and notifications, synced email, calendar, video calls with the client's context, documents and contracts. Import clients and tasks from a spreadsheet.

M·02

Auto-Quoting

A PDF quote built from the rules of your price list. Discounts and variants come only from the rules. A discount above the threshold goes to a manager for approval, and an enquiry with incomplete data goes back with a question or to a salesperson.

M·03

Konik Tax

Company finance fully integrated with KSeF: sending and receiving invoices, error handling and retries, receivables and reminders. Every package includes 1 tax ID (NIP).

M·04

Konik Cortex: company knowledge

An AI assistant that works on your company documents: conversations and memory in Workspace, a log of every AI call, and a single button to pause it. Answers point to their source.

M·05

Konik Lex

All company obligations in one place, an EUR-Lex regulation monitor, and answers built only from quotes from the sources. Without a source, the system declines to answer. A tool for your lawyer and management board; it does not replace a lawyer.

M·06

Leads with their source

Enquiries and partners saved with the channel they came from, so the CRM shows where each client came from.

06 · Methods · What it runs on

The methods work in the Diagnosis, not in the CRM.

The code of the CRM, Auto-Quoting, Tax, HR, Recru and Lex does not reference any methods, so we do not claim any here. The methods are written into the sales, marketing and go-to-market strategy (the RevOS module), which the implementation plan is built from.

What this offer stands on.

We show client logos and results only alongside a published case study, with the figure, the period and the source. Here we describe the modules this offer is built on.

The modules this offer is built on: Auto-Quoting, already in use at client companies, and Konik Tax, which sends invoices to KSeF.

08 · Pricing · Net

Prices straight from the price list. No asterisks, no crossed-out prices.

You start with a Diagnosis. After it you know which package and which modules make sense. You pay for implementation once, and a monthly fee covers maintenance and support.
